Pack 250 Popcorn Orders Turn-in Info

This notice contains detailed instructions on how to turn in your popcorn sales.  Please read through it thoroughly as I would hate for you to forget something and be sent home for it.  Den Leaders & Den Kernels, please make sure everyone in your Den is aware of this information.  Any Scout who did storefront sales at Lowe’s Foods on September 9th & 10th will receive additional instructions in a separate e-mail from me today.

If you follow these instructions, you will breeze through the turn-in process, but you must come prepared!!  All forms MUST be filled out and checks balanced with totals prior to arriving at the turn-in.
Turn-in Dates:
  • Sunday, October 23rd from 4-8 PM at my house.  This is by appointment only.  Please respond via e-mail and tell me what hour works for you and I will respond with a time.  All times must be reserved by Friday night.  Please DO NOT show up at my house without a scheduled time and please be on time!!  The more people we can squeeze in on Sunday, the less crowded it will be on Monday.  I am requesting that anyone with more than $1,000 in sales come on Sunday in addition to anyone else who needs Sunday.
  • Monday, October 24th from 5-8 PM at the Church.  This will be a first come first served approach and we will stay until everyone is taken care of.  Again, if you follow the instructions, we will all get through it quickly.
  • Monday is the last date for turn-ins.  If you are going to be out of town or can not make one of these dates, you must notify me ahead of time to set up an earlier date.
What to Bring:
  • Popcorn Sales Summary Sheet completely filled out (blue sheet from packet – extra forms can be found on the Pack 250 website under Popcorn Links)
  • Checkbook (in case you owe us money)
  • All Show & Deliver Sales Forms
  • All Trail’s End Order Forms
  • Your Online Sales Report (only sales through 10/23 are eligible)
  • All checks (see below)
Checks:
  • All checks must be written out to BSA Pack 250
  • All checks must have the Scout Name/Den in the Memo section
  • All checks must be sorted by amount (smallest to largest)
  • All cash must be converted into a personal check
Popcorn Sales Summary Sheet:
  • Fill in your Scout Name & Den
  • Fill in the Take Order Total Sales:  Using your Trail’s End order form, total each page by quantity and dollar amount.  Remember this is only for popcorn that needs to be ordered & delivered.  (All popcorn that has been delivered should be on the Show & Deliver Sales Form). If you have more than one page, total all pages to get your Grand Total.  You can then use your Grand Total to fill in the Popcorn to be Ordered at the bottom of the page.  Please note that any prior Take Orders you provided me with do not count – this is your official order.  The Pack does not order extra popcorn so make sure your totals are accurate!!
  • Fill in the Show & Deliver Total Sales:  Show & Deliver is the popcorn you have already delivered to your customers (it does not need to be ordered).  This is the total amount of Show & Deliver you signed for (you have the yellow receipts).  It should match your Show & Deliver Sales Form totals.  If you have any questions about the amount, call me.  Please note that most errors take place here so make sure you have the most current Show & Deliver total.  I gave everyone who returned or picked up a new S&D total.  What we have on record is the dollar amount you are responsible for submitting.
  • Fill in the Cash Donations:  These are non-military cash donations that you received going door-to-door or through storefront sales.  Cash Donations do not count towards Trail’s End or Council Prizes (refer to 10/18 e-mail).
  • Fill in the Sub-Total:  Add your Take Order, Show & Deliver, and Cash Donations to get your Sub Total.  This total should match the total dollar amount of the checks you are submitting.  If your totals do not match, you must contact me prior to turn-in.
  • Fill in the Online Total Sales:  Print off your your sales history report from www.trails-end.com.
  • Fill in the Grand Total Sales:  Add your Online Total Sales to your  Sub-Total.  Your Grand Total Sales will be the prize level for Pack 250 Prizes.
  • Subtract the Cash Donations from your Grand Total Sales to get your Grand Total for Trail’s End & Council Prizes.  This can be written in anywhere on the back.
  • Turn the sheet over and select your Gift Card Choice - all other prizes will be automatically awarded.  Review the Overview of Incentives sheet from your packet to make sure your total reflects the Prize Level you think you earned.
If you have any questions or problems, contact me prior to turn-in.  Please join us Tuesday night at 7PM at Grace where we will reveal all the totals and our prize winners!!  Please note that all prizes will be awarded at the December Popcorn Prize Pack Meeting.
